4-step cold email sequence to book demos

An email-only sequence for booking demos: four steps over about two weeks, each one shorter than the last.

When to use these

  • You only have email addresses, or your buyers are not active on LinkedIn.
  • You want a simple, proven structure to start with and test from.
  • Your goal is a demo or discovery call.

Email 1: the reason

Day 1 · Email

Subject: {{trigger}} at {{company}}

Hi {{firstName}}, Noticed {{trigger}}. That is usually when {{problem}} starts to hurt. {{product}} {{oneLineHowItWorks}}. {{peerCompany}} uses it to {{outcome}}. Open to a 15-minute look? {{senderName}}

Why it works: A real trigger explains why you are writing now and why to them.

Email 2: proof

Day 4 · Email

Subject: Re: {{trigger}} at {{company}}

Hi {{firstName}}, Quick example: {{peerCompany}} went from {{before}} to {{after}} in {{timeframe}} with {{product}}. Would that kind of result matter for {{company}}? {{senderName}}

Why it works: Concrete proof gives a second, different reason to reply.

Email 3: the easy yes

Day 8 · Email

Subject: Re: {{trigger}} at {{company}}

Hi {{firstName}}, If a call is too much right now, I can send a two-minute video showing how {{product}} would work for {{company}}. Want it? {{senderName}}

Why it works: Offering a smaller step catches people who are interested but not ready for a call.

Email 4: the close

Day 13 · Email

Subject: Should I close the loop?

Hi {{firstName}}, I will assume the timing is not right and stop here. If {{problem}} comes up later, just reply and I will be happy to help. {{senderName}}

Why it works: A respectful ending gets late replies and protects your reputation.

Tips before you send

  • Send on weekdays, in the morning of the prospect’s time zone.
  • Keep emails 2 and 3 in the same thread so the history is visible.
  • Test one change at a time (a subject line, a call to action) on a few hundred leads.
  • Send from warmed-up mailboxes and cap each one at 30 to 50 cold emails a day.

Questions

  • How many emails should a cold email sequence have?

    Three to five. Four is a good default: a first email, two follow-ups that each add something new, and a polite close.

  • How far apart should sequence emails be?

    Two to three business days between the first two emails, then four to five days between later ones. The whole sequence usually runs about two weeks.

  • When should I stop a sequence?

    Immediately when someone replies, unsubscribes or bounces, and after the last step otherwise. Do not restart the same sequence for the same person soon after.
